Officials & Staff

Two new tools in your association dashboard

Two features shipped to the association dashboard this week, and both come from the same place: coordinating people isn't just about players and coaches. Someone has to line up a referee for Thursday's game, and someone has to get a new board member access before their first meeting. Both are now easier.

Assign Referees and Scorekeepers from a Dedicated Officials Tab

Your association dashboard now has an Officials tab under Operations. It lists every upcoming game across all of your leagues—date, league, home and away teams—with columns showing who's currently assigned to referee and who's assigned to keep score.

Click Assign on any game and pick from a multi-select list of referees and scorekeepers—pulled straight from your association's staff roster, so there's no retyping names. Assign multiple referees to the same game if that's how your association runs things, and update assignments any time right up until puck drop.

A Dedicated Referee Role

Alongside the Officials tab, HockeySync now has a Referee role you can assign to staff members. Referees can score the games they're assigned to and file discipline reports and suspensions—but they can't touch registrations, payments, or association settings the way an Admin or Scorekeeper can.

That matters if your association brings in officials from outside your usual admin group: you can give them exactly the access they need for game day without handing over the keys to everything else.

Invite Staff by Email—Even Before They Have an Account

The Staff tab in your association's Settings has been reworked around a problem every admin runs into: you want to add someone—a new board member, a referee, a scorekeeper—but they don't have a HockeySync account yet.

Previously that meant waiting for them to sign up first. Now you can invite them by email right away. HockeySync sends them an email to create an account, and the moment they register, the role you assigned is applied automatically. Until then, they show up in your staff list with a Pending label, so you always know who you're still waiting on.

You can still change a pending invite's role or cancel it outright before the person ever signs up—useful if you invited the wrong email or plans changed.

How to Get Started

  1. Invite your officials as staff first. From your association dashboard, go to Settings → Staff, click Add Member, and enter their email with the Referee or Scorekeeper role. If they already have a HockeySync account, they're added instantly; if not, they get an invite email.
  2. Assign them to games. Go to Officials under Operations, find the game, and click Assign to pick referees and scorekeepers from your roster.
  3. Keep an eye on Pending invites. Anyone who hasn't signed up yet is clearly marked, so nothing falls through the cracks before game day.

Why This Matters

Running an association means coordinating a lot of people who aren't players or coaches—officials, board members, volunteers. These two features exist so that coordination lives in the same place as everything else you already manage, instead of a separate spreadsheet or group text thread that's always a version behind.

Both features are available now for all association accounts—no setup required beyond assigning roles to the people who need them.
